Private club

Built around the member, with the billing gaps stated up front

A private club's software question is really two questions: does it run competitions and the member experience well, and does it bill members the way the club actually bills. Aced answers the first strongly. On the second, there are gaps, and they are on this page rather than in a discovery call.

The jobs

What this kind of facility is actually trying to do

Not a feature list re-labelled. These are the recurring problems that decide whether a system fits.

Run the competition calendar
Club championships, member-guests, weekly leagues and net events are the club's social spine. They need real handicaps, flights, tie-breaks and results people trust.
Make the counter feel like the club
A member should not have to explain who they are. Rate class, house account, purchase history and card on file all on one record.
Protect the member's tee time
Standing times and member groups are non-negotiable, and they are the first thing anyone notices when they break.

How Aced handles it

The connected workflows that matter here

Member competitions with real handicaps
A members-only event draws the eligible field from your member list with their handicaps. Gross, net, Stableford and net Stableford can be scored on one event, with flights and countback tie-breaks.
Live boards for the clubhouse
The same live data drives a broadcast leaderboard for the grill-room wall, so the room watches the championship move rather than waiting for a printout.
Standing tee times
Member groups hold recurring times that regenerate on schedule, kept out of any public availability.
House accounts
Charge at the counter, settle by invoice, with the balance on the member record and reconciled through the same ledger as every other tender.
Memberships & installments
Membership plans with installment schedules, charged against a card on file that is bound to that specific installment rather than floating against the member.
One member record
Bookings, purchases, membership, balances, cards on file and a season of competition results on one profile.

Private club

Start with the billing question

Where Aced fits well here

  • Private clubs whose competition calendar is central to member life
  • Clubs wanting live scoring and a clubhouse leaderboard as part of the platform
  • Facilities that want one member record across golf shop, grill and events
  • Clubs running house accounts settled by invoice
  • Clubs replacing a separate scoring product with something connected to the tee sheet

Club billing features that do not exist today

Aced does not run dues billing cycles, produce formal monthly member statements, support family or linked accounts with per-member spending limits, or track minimum-spend requirements. Those are core to how many private clubs bill, and Aced is genuinely not the system for that today. If your club runs on statements and minimums, this is a real gap rather than a roadmap item we will imply is imminent — tell us early and we will say plainly whether it is worth continuing.

Capability statements reflect the production platform as of August 2026. If one of them is load-bearing for your facility, confirm it with us before you sign anything.

Private club questions

Does Aced replace our club accounting system?

No. It handles house accounts, invoices, memberships and installments, but not dues cycles, member statements, family accounts or minimum spend. Many clubs would need to keep a billing system alongside it, and that is a real cost to weigh rather than something to discover later.

Can we run the club championship on it?

Yes — multi-round events with flights, countback tie-breaks and gross, net, Stableford and net Stableford scoring, drawn against real tee times with a printable start sheet and a live board for the clubhouse.

Where do handicaps come from?

They are held on the member record and used for net scoring. There is no automatic feed to or from a handicap authority, so keeping them current is a club process — which is worth knowing before a net championship.

Can distance help be switched off for a competition?

Yes. Per-hole distance help can be disabled for a tournament or for an individual round, because some competitions do not permit it. The setting sits on the event, so a committee decision applies to the whole field.

Start with the billing question

For a private club it is the deciding one. Tell us how the club bills members and you will get a straight answer about fit in the first conversation.
