Municipal
Numbers a finance department will accept
A municipal course answers to people who were not there when the money was taken. That makes accountability, auditability and clean reporting the requirement — and it makes an honest answer about what a young vendor cannot yet certify more useful than a confident one.

What this kind of facility is actually trying to do
Not a feature list re-labelled. These are the recurring problems that decide whether a system fits.
- Account for every dollar
- Cash at a public facility gets scrutinised. Drawer sessions, named staff, and an append-only ledger mean the day's number has a chain of custody rather than an assertion.
- Charge residents correctly
- Resident, non-resident, senior and junior rates have to be applied consistently by whoever is on shift, and be defensible when someone questions what they were charged.
- Report to people outside the pro shop
- Finance, parks and council all want different cuts of the same day. Exports have to be clean enough to hand over without a covering explanation.
How Aced handles it
The connected workflows that matter here
- Rate classes by residency
- Resident and non-resident rates live on the golfer profile, so the price is applied by configuration rather than by staff judgement — and it is the same online, on the sheet and at the counter.
- Accountable cash handling
- Every staff member has a PIN and every register action is attributable. Drawer sessions open and close against a named person, and the Z-report separates tenders and itemizes offline sales.
- An append-only ledger
- Money movements post as balanced double-entry records that are added to rather than edited, so a report run for last March still matches the one run in April.
- Exports finance can use
- An accountant pack of CSVs by period — sales, tenders, tax by category, refunds, deposits — with definitions documented publicly in the help center.
- Permission gating
- Roles decide what staff can do. A permission that is not granted is not reachable from any screen, rather than being hidden on one.
- Reporting per course
- A parks department running several courses under one organization gets per-course reporting alongside the combined view.

Where Aced fits well here
- Municipal and county courses under a parks or recreation department
- Facilities with resident and non-resident rate structures
- Operations that need auditable cash handling and named accountability
- Departments running more than one course under one organization
- Courses whose reporting has to leave the pro shop every month

Municipal questions
Can we restrict what seasonal staff can do?
Yes. Roles gate every action, and a permission that has not been granted is not reachable from any screen. Combined with per-person PINs, a seasonal starter can check golfers in without being able to void a sale or change a rate.
How is cash handled at a public facility?
Drawer sessions are opened and closed by a named person with a count. The Z-report separates cash, card and other tenders and itemizes any sales rung during an outage, and the drawer cannot be closed while sales are still queued — the count would be wrong.
Do you support a formal RFP?
We will respond to one, with the caveat above: where the honest answer is that a certification does not exist yet, that is what the response will say. A vendor who answers every question in an RFP affirmatively is worth reading carefully.
Where is the data hosted?
On managed platforms — Supabase for the database and authentication, Vercel for hosting — with Stripe handling card data. The full subprocessor list, with each provider's role, is published on the security page rather than supplied only on request.

If procurement has a form, send it before the walkthrough. It is a faster way to find out whether this is worth either side's time than a demo would be.
